Privacy policy

1. Who we are

Instakaam ("we", "our", or "us"), operated by Bellu Technologies Pvt Ltd, processes personal data in connection with Instakaam websites, staffing services, and vendor tools (AI chat, offer letters, invoices, payslips, salary calculator, XLSheet, and related services). This notice is intended to support informed consent under the Digital Personal Data Protection Act, 2023 and related rules, and disclosures under applicable IT / SPDI requirements.

2. Personal data we process (itemised)

• Account / OTP: mobile number, and name when you provide it
• Vendor brand memory: company name, logo, address, GSTIN, bank details, and authorized signature when you save them (to run documents you request)
• Document content you provide for offer letters, invoices, payslips, company profiles, and spreadsheets (to generate outputs you request)
• Chat prompts, uploaded files, and generated PDF/Excel outputs
• Payment-related details when you buy a plan (order id, payment id, plan, amount) via Razorpay — we do not store full card numbers on our servers
• Technical / analytics data such as browser, IP, device signals, pages viewed, and (where enabled) session replay with inputs masked — via tools such as PostHog after you accept Tools consent

3. Purposes

• Provide the service: run tools, generate documents, save brand memory after login, OTP authentication, support
• Free plan product promotion: contact you using only your name and OTP phone number to promote Instakaam products
• Staffing outreach (Free and Paid): use your vendor contact/company details for Instakaam staffing and recruitment outreach. This is a condition of use; no in-app opt-out while you remain a user
• Improve Instakaam GPT / multi-agent features:use chat (when your Privacy & data toggle is on) to improve product quality. Document contents and employee lists are not used to train or fine-tune models
• Paid plans: we do not use your account data for Instakaam product promotion
• Process plan purchases, invoices, and refunds
• Comply with legal and regulatory obligations

4. What we do not do

• We do not sell personal information
• We do not use payslips, offers, invoices, employee names, employee numbers, or other document contents for Instakaam product marketing
• We do not use those document/employee fields to train or fine-tune Instakaam GPT or multi-agent models
• We do not use cold WhatsApp outreach seeded from payroll documents generated in Tools

5. Sharing / processors

We may share data with trusted service providers only as needed for hosting, SMS OTP, PDF rendering, payment processing (Razorpay), analytics (e.g. PostHog), and background jobs — purpose-limited. We may disclose information to authorities when required by law. Generated documents remain under your control when you download or send them.

6. Cookies and analytics

After you accept the Tools consent notice, we may use cookies / localStorage and analytics (including page views, product events, and session recording with masked inputs) to understand usage and improve reliability. Until you accept, non-essential capturing is opted out by default.

We store consent records on our servers (version accepted, time, preference flags, and a notice snapshot) so we can demonstrate what you agreed to if required under applicable law. A copy also remains in your browser for the product experience.

7. Retention and security

We retain personal data only as long as needed for the purposes above or as required by law. We apply reasonable security safeguards appropriate to the data we process. No method of transmission or storage is perfectly secure.

8. Children

Tools are intended for users aged 18 and above. We do not knowingly process children's personal data for these services.

9. Your rights and withdrawal

Depending on applicable law (including the DPDP Act when fully in force), you may request access, correction, erasure, or restriction of your personal data, and you may withdraw consent. Withdrawal of consent for purposes that are conditions of using Tools (such as staffing outreach using your vendor contact) means you should stop using the service and/or request account deletion. Chat improvement can be turned off in Privacy & data settings with comparable ease to turning it on.

10. Cross-border processing

Some processors (for example analytics or cloud hosting) may process data outside India. Where we transfer personal data, we do so in connection with operating the services and subject to applicable law.
